From Scattered Opportunities to a Clear Yearlong Sales System

A sponsor and membership guide system built for visibility, value, and growth

When the Yuma County Chamber of Commerce came to us in 2022, they had a good problem with a messy delivery system.

They had sponsorships, events, advertising options, added opportunities, member benefits, and yearlong visibility tools. The value was there. The challenge was that it lived in too many places, which made it harder for staff to explain and harder for members to understand.

They did not need another flyer for sponsorships. They needed one clear source that could organize a full year of opportunities, show the value of each level, and make the sales conversation easier to follow.

We helped the Chamber turn that scattered list of opportunities into a cohesive annual guide that worked like a menu, a sales tool, and a planning resource all in one. Then we continued building on it year after year, creating versions for 2023, 2024, 2025, and 2026.

Finding the goal.

The Moment It Clicked.

The breakthrough was realizing the Chamber should not be selling one event at a time.

They had annual events, monthly programs, advertising opportunities, member visibility tools, sponsorship extras, and public moments happening throughout the year. But when those opportunities were presented separately, the bigger value could get harder to see.

Once we framed the guide as a yearlong sales system, everything became clearer. The Chamber was not only selling a table, a logo placement, a newsletter ad, or a single event sponsorship. They were helping members choose how visible, connected, and involved they wanted to be throughout the year.

That shift gave the guide its purpose. Sponsors could compare options. Staff could present opportunities consistently. Bigger commitments could be tied to stronger benefits. Smaller opportunities still had a place in the system. The Chamber had plenty to offer. The guide helped make the offer easier to see, easier to explain, and easier to build upon.

The process.

Approach.

We built the guide around clarity first.

The Chamber had a large mix of annual plans, event sponsorships, advertising options, luncheons, mixers, expos, digital visibility tools, committee opportunities, and extras. If everything was treated the same, nothing would stand out. So the work became about structure.

We organized the opportunities into a guide that could be used in print, sent as a PDF, or shared as a digital flipbook. The format helped staff walk members through options without rebuilding the pitch every time. It also gave members a cleaner way to compare opportunities, understand the value, and decide where they wanted to invest.

The guide also helped establish a cleaner visual direction that carried into future Chamber materials. We took inspiration from the Chamber’s existing website presence at the time, then shaped the guide into something that felt more cohesive, polished, and useful across sales conversations.

What all did the project include?

Deliverables.

The first major deliverable was the annual sponsor and opportunity guide for the 2023 year. From there, the system became a recurring annual project and continued to grow.

The guide became a yearlong menu of opportunities, organizing major events, sponsorship levels, advertising options, annual plan benefits, and smaller extras into one source. Instead of staff needing to explain every opportunity from scratch, the guide gave them a structured tool they could send, print, present, and build from.

For 2026, the Advertising & Event Guide expanded into a tool with 24 pages that includes annual plan levels, event sponsorships, advertising options, Good Morning Yuma opportunities, monthly mixers, government affairs partnerships, committee sponsorships, task force sponsorships, relocation guide sponsorships, Chamber Happenings advertising, website advertising, and a calendar of events.

The work also helped lead to a second guide: the 2026 Membership Guide. That piece was built as a sales tool for potential members, helping them understand the baseline value of joining the Chamber, the benefits available through membership, and the ways they could connect, promote, and participate.

Before: The Chamber had valuable opportunities, but they were scattered. Sponsorships, advertising options, event visibility, and extras were harder to explain because they were not all living inside one cohesive sales tool. The value was real, but the presentation did not always make that value easy to understand.

After: The Chamber had a clear annual guide that organized opportunities into one structured system. Staff had a more consistent way to present the full menu. Members could better understand the options in front of them. Higher levels of investment were connected to clearer benefits, while smaller opportunities still had a visible place in the system.

How did this help?

Results in Two Lanes.

Business Outcome

The guide became an important sales tool for the Chamber’s sponsorship and opportunity sales. Chamber leadership credited the guide as an important part of helping generate more than $180,000 in sponsorship and opportunity sales for 2025.

That kind of result matters because sponsorship sales are not just about having opportunities available. They are about making those opportunities easy to understand, easy to compare, and easy to commit to. The guide gave the Chamber a stronger way to present value and support investment throughout the year.

Practical Outcome

The Chamber gained one organized resource that made the full opportunity menu easier to present, sell, update, and reuse. Staff could send the guide ahead of a meeting, walk through it during a conversation, or use it as a reference when members asked what was available.

It also created a recurring annual sales tool that could be built upon each year. Instead of starting from scratch, the Chamber could adjust dates, events, pricing, sponsor levels, benefits, and new opportunities while keeping the overall structure intact. That is the kind of repeatable tool that saves time and keeps the message steady.

Before: a wide range of valuable Chamber opportunities spread across different conversations, lists, events, and extras, making the full picture harder to explain and harder for members to compare.

After: a clear annual sponsorship and opportunity guide that brought events, advertising, annual plans, sponsorships, and visibility tools into one cohesive sales system.

And Beyond: the guide became a recurring annual project and helped kickstart the 2026 Membership Guide, a separate sales tool created to help potential members understand the value of joining the Chamber and see the benefits available through membership.

Measurable Results.

Impact.

A Chamber has to do a lot of explaining.

It has to explain why membership matters, why sponsorship is valuable, why events deserve support, why visibility opportunities are worth considering, and why businesses should invest in community connection before they can always measure the return on day one. That is a lot to ask from one conversation and one staff member with a stack of notes.

The guide helped carry that weight.

It gave the Chamber a clearer way to show the full value of participation. It helped members understand that they were not just buying a table, a logo placement, or a ticket. They were choosing how visible, connected, and involved they wanted to be throughout the year.

The Yuma County Chamber of Commerce did not need a longer list. They needed a clearer system.

So we helped build one that could be used, updated, and built upon year after year.
